Migrate from Exchange onPrem to Office365 (User)

When migrating from Hosted Exchange (OnPrem) to Office365 you will need to setup multi-factor security (MFA) and remove and re-add the account to your mobile devices and computer.


The steps below will help you with these changes.


1 - Install the Microsoft Authenticator on your mobile device


During the setup of your new account or shortly after setup, you will need to setup the Microsoft Authenticator to receive the multi-factor security codes when logging into your account in the future.


To speed up this process, you should download the Microsoft Authenticator to your mobile device now:


IOS / Apple Device

- Scan the QR code with your mobile device and install the Microsoft Authenticator

Android / Samsung Device

- Scan the QR code with your mobile device and install the Microsoft Authenticator

2 - Remove and Re-Add your Email Account to your Computer


Next you should remove and re-add the account to your computer before making this change on your mobile device.


For Outlook for PC


Removing the Old Account

  1. Open Outlook and navigate to File > Account Settings > Account Settings.
  2. Select the Exchange account to be removed and click Remove.
  3. Confirm by clicking Yes.

Adding the New Office 365 Account

  1. Go to File > Add Account.
  2. Enter your Office 365 email address and click Connect.
  3. When prompted, enter your password and click OK.
  4. Follow any additional prompts to complete setup. Outlook will automatically detect the Office 365 server settings.
  5. Restart Outlook once setup is complete.

For Outlook for Mac


Removing the Old Account

  1. Open Outlook, go to Tools > Accounts.
  2. Select the Exchange account and click the minus (-) sign to remove it.
  3. Confirm the removal.

Adding the New Office 365 Account

  1. Navigate to Tools > Accounts > Add Email Account.
  2. Enter your email address and continue by clicking Continue.
  3. Input your password and select Add Account.
  4. Close the Accounts window once emails begin to sync.

3 - Remove and Re-Add your Email Account to your mobile device


Finally you should remove and re-add the account on your mobile device.


For iPhone / Apple


Removing the Old Account

  1. Go to Settings > Passwords & Accounts.
  2. Find and select your Exchange account, then tap Delete Account.
  3. Confirm by tapping Delete from My iPhone.

Adding the New Office 365 Account

  1. Return to Settings > Passwords & Accounts > Add Account.
  2. Select Microsoft Exchange.
  3. Enter your email address and a description for the account, then tap Next.
  4. Choose Sign In, enter your password, and finalize your settings.

For Android / Samsung


Removing the Old Account

  1. Navigate to Settings > Accounts (or Accounts and Backup, depending on the device).
  2. Select the Exchange account and tap Remove Account.
  3. Confirm the removal.


Adding the New Office 365 Account

  1. Return to Settings > Accounts > Add Account.
  2. Choose Microsoft Exchange or Corporate.
  3. Input your email address and password, then tap Next.
  4. Adjust your sync settings as needed and complete the setup.
